Privacy notice: absence and return to work

BubbleIT Solutions Limited is the controller of the personal data processed in this system.

What we process

Absence dates, the general reason category, reporting details, return to work interview answers, agreed support and actions, and any documents you or your manager upload. We ask only for the information needed to support you and manage attendance fairly; you do not need to share a detailed diagnosis.

Lawful basis

Article 6(1)(b) and (c) UK GDPR (employment contract and legal obligations such as Statutory Sick Pay). Health data is special-category data processed under Article 9(2)(b) and Schedule 1, Part 1, paragraph 1 of the Data Protection Act 2018 (employment obligations), with an appropriate policy document.

Who can see it

You, your reporting manager, HR administrators and, where needed, auditors with read-only access. Managers' private notes are never shown to colleagues.

Retention

Records are retained for the period set by HR (by default six years after the end of the relevant tax year) and then securely deleted.

Your rights

You can access, request correction of, or object to processing of your data. Contact HR or submit a correction request from your absence history.
